00 Hourly GENERAL PURPOSE Performs a variety of working level complex clerical duties designed to expedite the administrative processes and procedures related to documenting, maintain and controlling police records, case files, statistics, and information; receives, processes and assures the integrity of evidence.
SUPERVISION RECEIVED Works under the close to general supervision of an assigned supervisor.
SUPERVISION EXERCISED None ESSENTIAL FUNCTIONS Records:
Operates personal computer to access records data bases as needed to enter and maintain accurate, comprehensive, and up-to-date case reports such as incidents, complaints, offenses, etc.
; maintains property and criminal history records; enters report narrative, and involvements (names, vehicle information, property information, etc.
); maintains and updates dispositions on each case and enters changes into computer information base; enters and retrieves data.
May operate copying/scanning/image processing equipment; create and store permanent electronic files; assures proper coding and file numbers are associated with each document; assures proper recording and filing of documents into records management system.
Records traffic and misdemeanor citations, types vehicle impound notices, traffic accident reports; locates police reports and makes copies for the officers, public, and attorneys, updates stolen property for (NCIC) National Crime Information Center.
May act as Terminal Access Coordinator (TAC) for the department; inputs and retrieves criminal information as needed to comply with record keeping requirements; compiles reports showing all court activity for the FBI, State Bureau of Criminal Identification, State Court Administrator, State Driver License Division, and City to facilitate case load analysis.
Performs various records tracking activities as needed to obtain driver's license information, vehicle registration, Utah Criminal History, NCIC (Interstate Identification Index), Out-of-State vehicle registration, driver's license information, NCIC wanted persons, stolen autos, and property checks.
Reviews and processes booking sheets; enters juvenile and adult arrest and citation information; identifies nature of crimes by established categories and classifications; monitors files to assure proper UCR reporting; word processes dialog from recorded interviews.
Assures the proper delivery of documents and disposition reports at various stages of the legal system process; expedites delivery as needed, including internal departmental dissemination; prepares report and citation files for court appearances; distributes court notices to police personnel; receives verification of notice and files appropriate records.
Performs computer entry of all non-arrest and non-citation reports submitted by officers, such as thefts, malicious injuries, runaways, missing persons, harassing phone calls, accidents, etc.
Maintains daily log of impound vehicles; identifies record by date, registered owner and lien holder; identifies reason for impoundment.
Checks and updates records; monitors in-house computer; generates statistical summaries for calls and services for staff and other agencies; searches and produces insurance information.
Performs general office typing as needed to complete forms, memos, letters, schedules, applications and correspondence; maintains numeric and alphabetical files; makes copies, assists the public, responds to telephone calls and distributes calls to appropriate office or individual.
Assists walk-in public with private property reports and lost property reports; assists citizen in the preparation and completion of standard forms used to register claim or establish an incident which does not require an investigation; assures accuracy and completeness of completed documents.
Evidence:
Performs as evidence control officer; receives, logs and updates tag sheet; assures integrity of all evidence through all stages of the evidence management process, including distribution, return, destruction and/or sale of items; maintains control of recovered properties; establishes inventory system; processes property claims upon proper verification of ownership; packages and ships evidence to Santa Fe lab; monitors destruction list and assures proper disposal of evidence and stored property.
Provides fingerprinting service to the general public; prints individuals for employment documents, adoption, emigration, child care, student teachers, security, etc.
Performs other related duties as required.
MINIMUM QUALIFICATION Education and
Experience:
A.
Graduation from high school with course work in general office practices and procedures; AND B.
Two (2) years of experience as a clerk or secretary performing above or related duties; Or C.
An equivalent combination of education and experience.
Knowledge, Skills, and Abilities:
Working knowledge of computer keyboard functions, general computer operations and various software applications; police records management requirements; UCR codes; proper grammar, spelling, and punctuation; standard office practices and procedures related to records filing and office maintenance; interpersonal communication skills; modern filing systems related to alphabetical and numeric files; telephone systems; telephone etiquette; operation of a variety of types of standard office machines including computer terminal, fax machine, copy machine, microfilming equipment, etc.
Skill in Word Processing, typing (50 wpm).
Ability to exercise initiative, independent judgment and to act resourcefully under varying conditions; maintain strict confidentiality related to sensitive administrative and legal information; develop effective working relationships with supervisors, fellow employees, and the public; communicate effectively, verbally and in writing; work under time pressures and work deadlines; work in an environment requiring continuous setting; ability to follow routine verbal or written instructions.
Special
Qualifications:
Must become NCIC certified.
Must possess a valid Utah Drivers License.
May be required to become a notary.
Work Environment:
Incumbent of the position performs in a typical office setting with appropriate climate controls.
Tasks require variety of physical activities, not generally involving muscular strain, related to walking, standing, stooping, sitting, reaching, and lifting.
Essential functions require talking, hearing and seeing.
Rapid work speed required to perform keyboard operations.
Common eye, hand, finger, leg and foot dexterity exist.
Mental application utilizes memory for details, verbal instructions, emotional stability and discriminating thinking.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check will bounce and the victim is left responsible.
